Aktok helps businesses stay organized by putting their important tools like customer tracking, scheduling, and task management all in one place.


This was my first project as a UX designer on Aktok's design team. I took ownership of the visual direction & strategy, IA, and interaction flow. And with the help of the team, these contributions informed the first phase of theproduct's evolution.


The objective was to streamline onboarding through a clear, intuitive, and visually engaging experience that makes it easy for first time users to get started.

I changed the primary button colour to the brands second to to create a clear contrast on the page.

I created a friendly feel by using a wavy pattern which conveys flow and ease.

The current onboarding

Getting started on Aktok typically involves three steps: account creation, choosing a subscription plan, and workspace creation, in this particular order.


Compared to other platforms which get users started quickly, Aktok takes a slower and more thorough approach - which can feel a bit too long and discouraging for first-time users.


During my user study, I spoke with Mante, a virtual assistant of over 4 years who just recently joined Aktok for work. As she shared her first experience of the platform, she described it as rigid, too serious, and unnatural.

The current interface

Aktok is designed to make everyday business tasks easy, so to learn that a user felt this way about it was something worthy of looking into. But asides from the lengthy onboarding, and the mechanical feel, I identified other limitations:

LIMITATION 1:

UPFRONT MONETIZATION

Users are required to subscribe to a plan before getting started on the app. For a product in it’s early stage trying getting their foot out, this is a big ask! It’s a high level of commitment too early.


It’s like walking into a store and being asked to pay for an outfit before you see it or even tried it on. It assumes that people already trust and value your product before getting a chance to explore them. And that can turn potential users away.

Alternative sign ups (like Google, Apple) were visually deprioritized and placed far down the screen increasing the possibility of users missing a faster and easier method to sign up.

Also, input fields required an extra click to activate, creating a small but unnecessary barrier. Slowering progress due to lack of immediate focus or input readiness.

LIMITATION 2:

PROGRESS INDICATION


There is no visual indication of progress. For an onboarding process that spans multiple steps, users need clear cues to understand where they are, how much they've completed, and what’s left.


So without any form of progress tracking, it's difficult for users to gauge how far along they are, which can make an already lengthy process feel even more overwhelming.

After highlighting these problem, I began to work on them in parallel. And these ‘how might we’ questions drove my exploration and experimentation.

After brainstorming potential solutions, we made sure that these ideas weren’t just creative fixes but also made sense for the business.


To do this, I aligned the proposed solutions with the company’s core goals. This helped uncover overlaps where user needs and business objectives naturally met, making it easier to establish priorities, find compromises, and build a shared direction moving forward.

We began by restructuring the layout to improve content prioritization and overall organization. From there, we explored different ways to enhance the overall look and feel of the platform, aiming to make the experience both functional and engaging.

Design treatment

We refined the visual hierarchy so that essential actions stood out. Example of this was making the alternative sign up more prominent by bringing it to the top, to enable quicker onboarding.

Onboarding flow…

To encourage adoption while ensuring long-term growth, I proposed a hybrid freemium model. Instead of charging users from the start, the platform would offer core features for free, enough to help individuals and small teams explore, build habits, and see recurring value.


Then, as users attempt more advanced actions (like inviting teammates, integrating external tools, or exporting data), they would unlock a time-limited premium trial of the full suite.


This approach lowers the entry barrier, gives users the space to experience “aha moments,” and naturally nudges them toward upgrading once they’ve seen the platform’s collaborative and business potential.

After several loops of feedback and weekly design critiques with the Project Manager and Founder, we refined the experience to better serve potential users.


Although the product was still in its earliest stage, these contributions shaped the foundation for its first phase of evolution. Each design decision from restructuring layouts to introducing progressive onboarding and a sustainable freemium model, was made with scalability in mind.


By learning and iterating on the go, we not only improved clarity and usability for early adopters but also positioned the product to grow with its users.
