1. Optimize layout and interaction flow

I prioritized alternative sign ups for easy access. Also, reduced unnecessary clicks and input friction (auto-focus fields, inline validation, autofill).

📍Design Treatment

After uncovering overlaps, established priorities, and found compromises, the next step was applying them.

Reduced onboarding friction, cutting completion time from ~3minutes to ~1.5 minutes during internal walkthroughs.

Strengthened early engagement by integrating quick wins and contextual cues.

Cut engineering build time by ~30% by leveraging existing components

📌 Design Impact

The current onboarding

Getting started on Aktok typically involves three steps. While many similar platforms prioritizes quick access, Aktok takes a more structured and thorough approach.

During a user study, Manté, a virtual assistant who recently joined Aktok for work described her first experience as rigid and unnatural. But aside that, I identified other limitations:

Getting started on Aktok typically involved 3 steps: account creation, subscription and workspace set-up.

While similar platforms prioritize quick access, Aktok takes a more structured and thorough approach.

The nature of onboarding

During a user study, Manté, a virtual assistant who recently joined Aktok for work described her first experience as rigid and unnatural. But aside that, I indentified other limitations:

User observation

  1. Upfront Monetization

Requiring users to subscribe exploring the app sets a high barrier to entry. It assumes trust before experience.

Subscription.

  1. Poor layout & Interaction flow

Alternative sign ups (Google, Apple) were visually buried, and input fields needed extra clicks to activate, slowering users and adding friction.

  1. No Progress Cues

Without visual progress indicators, users couldn't tell how far along they were in onboarding, making the flow feel longer and heavier than it is.

📍Contraints & Realities

The project had to fit into a 3-week cap, support Aktok's monetization goals, and also plug into the existing backend workflows and componetnts. No full redesigns, no rebuilds from ground up.

📍Solution Exploration

I began brainstorming multiple directions to tackle these challenges using the "How Might We" approach:

  • How might we organise content to facilitate clarity and speed?

  • How might we create a smoother, more natural experience from the first touch point.

I used this same open ended approach for the other challenges too. Getting everything out first before narrowing down.

📍Aligning Solutions with Constraints

I aligned every solution with business goals, tech realities, and user needs, to uncover overlaps, establish priorities, find compromises, and build a shared direction.

To drive adoption and long-term growth, I suggested a hybrid freemium model: core features free to spark early “aha moments,” and advanced action would trigger a time-limited premium trial that nudges users into deeper value.

Trade offs

This lowers the entry barrier while strategically guiding users toward upgrading as they realized the platform’s full value.

Brain dump.

📍Design Treatment

After uncovering overlaps, established priorities, and found compromises, the next step was translating insights into actionable design solutions.

Major Improvements

  1. Optimized layout & Interaction flow.

I prioritized alternative sign-ups (Google, Apple) for faster access. I also

reduced unnecessary clicks and input friction (auto-focus fields, inline validation, autofill)

  1. Enhance Clarity & Guidance.

Added progress cues to show users where they are and what’s next. Also

used microcopy and visual hierarchy to make steps feel natural, human, and approachable.

  1. Show instant quick wins {immediate Feedback for Actions}

For example, when a user creates a task or workspace, a subtle animation or confirmation message reinforces that their action “worked.”

These highlight a few of the improvements, part of a wider set of refinements made across the onboarding.

📍Edge Cases

  1. Weak Password

  • Impact:

Security risk and potential failed signup attempts.

  • Treatment:

Provide password strength indicator and real-time guidance: Use at least 8 characters, including a {number} and {symbol}.

User chooses a password that does not meet security requirements.

  1. Email Already Registered

User attempts signup on a weak or unstable network.

  1. Slow or Intermittent Internet

User tries to sign up with an email that already exists in the system.

  • Balancing business priorities and user experience requires ongoing negotiation and careful trade-offs; early assumptions need constant testing against real constraints.

  • Working within constraints forced tough choices. At the same time, the boundaries helped me focus on what truly mattered and pushed me to find solutions that worked within reality rather than in theory.

  • Leveraging existing components and workflows saves time but also surfaces opportunities to refine clarity and reduce cognitive load without overhauling the system.

  • Not everything was visible at the start. User friction points and small pain areas only became clear during exploration. These discoveries taught me to remain flexible and iterative.

📍Aligning with Constraints
